Terms and Conditions
At the time of booking, please note that we require the following information:
– Customer’s full name.
– Passport number.
– Date of birth.
– Nationality.
When booking the Inca Trail, copies of passports will also be requested.
Payments and cancellation penalties for individuals:
A non-refundable deposit is required when booking the Inca Trail or entrance to Huayna Picchu and Machu Picchu Picchu. The amount will vary according to the number of travelers. Your Travel Group Peru specialist will inform you in due course.
Payment must be made 50 days before arrival. An exception applies, please read below.
At Belmond Sanctuary Lodge or InkaTerra properties: payment must be made 50 days prior to arrival.
At InkaTerra properties, a 20% non-refundable deposit is required 95 days prior to arrival. We reserve the right to require this 20% non-refundable deposit at any time.
Cancellation of all hotel nights for reservations cancelled within 35 days prior to arrival, except at Belmond Sanctuary Lodge and Inkaterra.
Cancellation of all hotel nights at Sanctuary Lodge and Inkaterra properties when reservations are cancelled within 50 days of arrival.
100% penalty for transfers and excursions cancelled within 15 days of arrival.
100% penalty for flights cancelled after tickets have been issued.
Peru Rail allows individuals to cancel without penalty up to 40 days before departure date.
Payment and cancellation penalties for groups:
When booking the Inca Trail or the Huayna Picchu and Machu Picchu tours, a deposit is required. The amount varies according to the number of travellers. Your Peru Travel Group specialist will inform you in due course. Payment is due 50 or 65 days before arrival, depending on the hotels selected.
A preliminary list of accommodations is drawn up 90 days before the arrival date.
The final list of accommodations is drawn up 50 days before the date of arrival (some exceptions apply, see paragraph below).
The following hotels require a final accommodation list and payment 65 days prior to arrival: Belmond Hotels (except Belmond Machu Picchu Sanctuary Lodge), Hotel Sumaq Machu Picchu, InkaTerra Properties, J.W. Marriott.
Inkaterra properties require a 20% non-refundable deposit 95 days prior to arrival.
We reserve the right to require this 20% non-refundable deposit at any time.
An “all nights” cancellation penalty will be applied to cancelled hotel reservations once the final list of accommodations has been published.
PeruRail allows cancellations without penalty for groups 40 days prior to departure date.
A 100% penalty applies to transfers and excursions cancelled within 30 days of arrival.
A 100% penalty applies to flights cancelled after ticketing.
Train service regulations:
Railway companies have introduced new regulations regarding the luggage that is allowed on trains to Machu Picchu. Only one piece of hand luggage of a maximum of 5 kg (11 pounds) and a dimension of 157 cm (62 inches) per passenger is allowed. This restriction has been introduced since the emergency exits on the trains were constantly blocked with passengers’ luggage.
Customers must carry a hand luggage if they plan to stay overnight in Aguas Calientes, Machu Picchu or the Sacred Valley.
Luggage allowance:
Each passenger may carry: 1 briefcase or backpack of 05 kg/11lb, 62 inches/157 cm (length, height, width). Luggage exceeding these measurements will not be allowed.
EXEMPTION FROM SALES TAX (VAT)
Hotel rates are exempt from 18% VAT for foreign travelers not resident in Peru.
The exemption applies only if travelers present their original documents (identity card) and the customs form stamped by the Peruvian authorities when checking in at the hotel. Travelers whose stay in the country exceeds 60 days are not eligible for this exemption.
SALES TAX (VAT) IN THE CASE OF “NO-SHOWS”
If the passenger does not use the services they have booked (“no show”), the amount invoiced by the hotel is subject to an additional 18% sales tax payment, in accordance with Peruvian tax regulations; this means that the exemption for foreign travellers in the case of “no show” does not apply.
